Deposit Cash Receipts Automatically with Dynamics GP 2016
New to Dynamics GP 2016, users no longer need to create a deposit for the cash receipts entered in the sales module. Configuring this feature is quick and easy! To post cash receipts as deposits, navigate to Administration >> Setup >> Company >> Company.  Select Options and then mark the box next to “Automatically post cash receipt deposits”. Press OK, and then OK from the Company Setup window. Please note this is a configuration per company so if you have multiple databases, you will need to select this option in each database. Once you mark this option, a deposit will be automatically created when a user posts a cash receipts or cash receipts batch from Sales >> Transactions >> Cash Receipts.  If you post an individual transaction, the deposit amount will be in the amount for that one transaction.  If you post a batch of cash receipts, the deposit will […]
Why SmartConnect Is the Go-To Integration Tool for Dynamics GP
SmartConnect is a very sophisticated tool for integrations. With its high level of versatility, it does a great job of automating your integration needs. It is definitely one of my tools of choice! Data can be read from Dynamics GP, Dynamics CRM, OLEDB or ODBC, text files, Excel, XML and more. You can even use multiple data sources and then join the results from the multiple data source. This makes utilizing data sources from separate databases or even joining a database data source with a text file data source possible! You can also set a network folder as a data source. The files in the folder can be Excel, text, XML, or XmlQuery. As long as the files match a designated template (or schema for a text file), SmartConnect will be able to process all the files contained in the folder. You can designate folders to use for files that […]

Microsoft Dynamics GP in the Cloud
Microsoft Dynamics GP is an enterprise resource planning (ERP) solution that connects the many moving parts of a small to mid-sized organization. Originally developed by Great Plains Software, the Dynamics GP platform was created in Fargo, North Dakota in 1981, and acquired by Microsoft in 2000. Since then Microsoft has continually advanced the Dynamics GP platform by adding improved technology, integration, and capabilities. The perceived age of the Dynamics GP platform has caused organizations shopping for ERP solutions to look elsewhere for their all-in-one accounting/operations needs. This is caused in no small part by the fact that the Dynamics GP platform is only offered as an on-premise solution without an option for a true cloud. However, this need not be the reason to eliminate Dynamics GP from your search. In this blog, I will show you that Dynamics GP can function much like a cloud ERP offering by simply pairing it […]
Frequently Used Tables in Dynamics GP Manufacturing Module
Below is a list of commonly used tables and their values.  Yeah I know it’s a long list, but if you have ever been working on that one report or looking for that one piece of information, you know that the manufacturing module is very big and very complex, hence all of the common used tables.  There are a few of the tables I have included, which are only required to correct issues. A few examples are bomlev1 and bomlev2; these tables are used for rolling costs.  If you have large Bills of Materials and you roll your costs often, the Dex Row ID’s in these tables can get too large.  When this happens all processing on cost rolls stops leaving you with an extremely vague message.  Dropping and rebuilding these two tables with their associated stored procedures is the only way to correct the issue.  A pain, I know, […]
PTE Timesheets Automatically Rejected in Microsoft Dynamics GP
Recently, I had a customer state that they opened a new fiscal year and were having a problem with PTE timesheets automatically getting rejected.  We were able to narrow it down to just new projects created in the new fiscal year that were experiencing the problem.  PTE timesheets for projects in the previous fiscal year would get approved successfully.  I ended up opening a ticket with Microsoft and here are the steps we went over: Project >> Transactions >> Time and Expense >> Timesheet Entry   The employee completed their timesheet for the week and clicked Submit as normal. Project >> Navigation List >> PTE Timesheets > Not Submitted The approver could open up the transaction and attempt to approve it, however, it would automatically have a “Rejected” status.   Administration >> Setup >> Company >> Workflow >> Workflow Maintenance We reviewed the workflow setup for project timesheets and confirmed […]
How To Backup, Delete And Re-Create An SQL Table
Did Your Company Table Fail During A Dynamics GP Upgrade? From time to time during upgrades, we run into time-consuming issues that really don't make much sense.  I have performed more Dynamics GP upgrades than I care to count and no two are ever alike. The process below will guide you through backing up, deleting and re-creating a Dynamics GP company table that failed to upgrade. (This happened during a test upgrade, and we did not get this error during the production upgrade.  Go figure.) During Dynamics GP upgrades you will find from time to time that a company will fail to upgrade. Worse yet you check the error and find you get something like this:     Then you check for the temporary table and it does not exist. This script was used to solve the issue I was having with this table in question. BEWARE! If using this […]
How To Integrate GP Data Into Prophix
Prophix interacts with many types of ERP systems, but one of the most common ones is Microsoft Dynamics GP. If you have used Prophix before, you will know that it uses customizable dimensions to determine an information point where all of the dimensions meet called a fact when storing data. Many Prophix users insert this data into the tables manually or with spreading into data entry forms. If you would like to simply migrate data into Prophix from the GP tables, there is a better tool that exists in the Prophix interface: Process Manager. Typically, you would either need to use macros or separate integration applications to pull data into an external reporting application. Both of these migration methods can be frustrating and bewildering. Thankfully, Prophix has an easy-to-understand integration tool built right into the application. Process Manager can be used to integrate data directly from GP tables or a […]
The Top 3 Reasons Why You Want to Implement Microsoft Dynamics GP Part 3 of 3
Dynamics GP has the largest 3rd Party Vendor network, several ‘Cloud’ offering options, bullet-proof architecture, and is one of the lowest total cost of ownership ERP software products on the marketplace today. There are many reasons to use Microsoft Dynamics GP as your ERP solution. We've already gone over several reasons why you should implement GP, but in this post, I am going to highlight what I believe are the top 3 reasons why you should implement Microsoft Dynamics GP. 1. Immense 3rd Party Product (Add-On features) Catalog From a core feature/functionality perspective, there isn’t much of a difference between today’s ERP software applications.  No matter what solution you’re looking at, everyone needs a chart of accounts, the ability to record payables/sales invoices, and pay vendors/receive cash from customers. However, the real power of an ERP system comes into play when an organization has specific needs that require further attention […]
Inventory Bill of Materials in Microsoft Dynamics GP
You may not know, but there is a simple, straight-forward option in the Microsoft Dynamics GP Inventory Module for performing Bill of Materials assemblies. The Bill of Materials feature works well if your company does light manufacturing or assembly, but doesn’t need the complexities that come with the full-blown Manufacturing solution. This module offers a great way to track and account for building components as they are turned into a finished product. Utilizing this assembly transaction will also increase your finished goods stock while simultaneously reducing your component stock and performing the proper accounting entries. In this blog, we’ll walk you through how to use this simple module. In order to begin using this module: You’ll first need to setup all your items (both finished goods and components) under Item Maintenance. Next, go to Inventory > Cards > Bill of Materials and select your finished goods item. In the grid, select all […]
3 MORE Key Reasons Why You Want to Implement Microsoft Dynamics GP Part 2 of 3
Microsoft has invested years of development and acquisition into sustaining their lead in the small to middle ERP products market. The result of this investment is Dynamics GP, which has one of the largest sets of reporting tools, out-of-the-box functionality, and scalability of any ERP software product on the marketplace today. There are many reasons to use Microsoft Dynamics GP as your ERP solution. In this blog, I will continue to highlight what I believe are the top reasons why you should implement Microsoft Dynamics GP. If you missed our first 3 reasons check our previous post here. 1. Reporting Along with all the base functionalities of Dynamics GP, there is also a multitude of reporting options available to users. Everyone knows these days that the ability to view your Data in Microsoft Excel is what most people want from their reports. Excel allows you to take that ‘raw’ data […]
3 Key Reasons Why You Should Implement Microsoft Dynamics GP Part 1 of 3
Microsoft Dynamics GP is one of the longest running, most supported, large user-based ERP software products in the marketplace today. Originally managed by the hugely successful entrepreneur Doug Burgum, GP has been the cornerstone of mid-market ERP for over 23 years. There are many reasons to use Microsoft Dynamics GP as your ERP solution, however, in this blog series, I will highlight what I believe are the top reasons why you should implement Microsoft Dynamics GP. 1. Part of the Microsoft Family of Business Application Software Microsoft purchased Dynamics GP back in 2003 and over the years has embraced the acquisition of what was then called Great Plains into its basket of business application software. Dynamics GP put Microsoft on the map as one of the leading solution providers of business application software in the marketplace. Unlike other owners of ERP software products who tend to own the software and […]
